A useful follow-up earns the next reply. It reminds the buyer what mattered, adds one thought and makes the next step easy.

Use this four-line structure

First, mention the problem they raised. Add one practical idea. Ask if it still matters. Then offer one small next step.

Try: ‘You mentioned that leads go quiet after proposals. I’d start by giving every proposal a decision date before it leaves your inbox. Is this still something you want to fix this quarter? Happy to compare notes for 15 minutes.’

Short. Useful. No emotional hostage situation.

Make it a system

Good follow-up should not depend on who remembers. Set timing, ownership and message prompts for each pipeline stage. Then let people bring the humanity.
